Business Operations Manager

We’re looking for a Business Operations Manager to take ownership of the operational backbone of the company while our Chief of Staff is on parental leave. While the role is initially offered as a fixed-term contract (18 months) to cover the parental leave period, depending on how your skills and the company evolve, there may be opportunities to continue with circuly. 
You’ll own operations across finance, HR administration, legal coordination and internal business operations, working closely with our CEO and external partners. You’ll make sure critical processes run smoothly, improve them where they don’t, and foster the structure that allows the rest of the team to focus on customers and product.

WHAT YOU’LL DO
– Own and continuously improve the day-to-day business operations that keep the company running smoothly.
– Coordinate recurring finance, HR and legal processes together with our external partners.
– Ensure critical operational tasks, deadlines and compliance requirements are completed reliably and on time.
– Lead cross-functional operational projects from planning through execution and follow-up.
– Build, document and optimise internal processes to help the company scale efficiently.
– Prepare operational insights, reports and decision-making materials for the CEO and leadership team.
– Act as the central point of coordination across internal teams and external service providers to keep priorities moving.

WHAT WE NEED FROM YOU
Must-haves
– Fluent English and German
– Experience in Business Operations, Executive or Management Assistant, Executive Operations, or a similar role.
– A proactive mindset: you communicate early, solve problems independently and reliably follow through.
– Strong organisational skills and excellent attention to detail combined with clear communication skills.
– The ability to handle confidential financial and HR information with discretion.
– Comfortable working across multiple topics and prioritising effectively.

Nice to have
– Experience with Personio, Agicap, Miro and Google Workspace.
– Confidence working with financial data such as cash flow planning, BWAs or P&Ls.
– Familiarity with working with Tax Offices and German Official Institutions.
– Experience working in a B2B SaaS Startup.
– Understanding of subscription business models.
